What to Charge for HVAC Work in 2026

Every "how much does AC repair cost" article is written for the homeowner. This one is written for you, the person deciding what goes on the invoice.

Two techs can do the identical capacitor swap on the identical August afternoon and bill $180 apart. No trade has a wider spread. The numbers below are what US HVAC contractors are actually collecting in 2026, plus the arithmetic that tells you where inside those ranges your shop belongs.

Rooftop units, VRF, refrigeration and anything requiring a lift or a second tech sit at or above the top of every band. Straight residential swap-outs in a suburb with easy attic access sit lower. Refrigerant deserves its own note: the R-454B transition pushed per-pound pricing up hard, so quote it off your last supply house invoice.

Flat rate is the default in HVAC, and there is a reason

More than any other trade, HVAC has moved to flat-rate book pricing, and the shops that resist it are usually the ones wondering where their margin went.

  • Flat rate for every repair you have done more than five times: capacitors, contactors, igniters, flame sensors, drain clears, thermostats, blower and condenser fan motors. One number, approved before you open the panel. You get paid for being fast instead of punished for it.
  • Time and materials for intermittent faults, ductwork rework and anything behind drywall or above a hard ceiling. Scope you cannot see is scope you should not fix a price on.
  • Diagnostic fee first for both. A $95–$200 fee to roll out and find the fault, then flat or hourly pricing once you know what you are dealing with.
  • Quoted project pricing for equipment. Changeouts are proposals with options. Present good, better and best, and let the customer choose the tier rather than choose you.

Building a flat-rate number is mechanical: true labor hours at your real hourly rate, plus the part at your marked-up price, plus a share of the drive. Do that arithmetic once per repair type and put it on a sheet in the van.

Build your hourly rate from your costs

The rate that matters covers what you want to earn, what the business costs to run, and margin on top. Three numbers:

  • What you want to be paid. Pay, not revenue. Say $90,000.
  • Annual overhead. Truck and fuel, general liability and workers' comp, EPA 608 and state license renewal, recovery machine, gauges, vacuum and micron gauges, combustion analyzer, leak detector, van stock, phone, dispatch software, accounting, marketing. For a solo licensed contractor with one truck this commonly runs $45,000–$60,000. Call it $50,000.
  • Billable hours. This is where the math usually breaks. You work about 2,000 hours a year and you bill maybe 1,100–1,300 of them. Supply house runs, drive time, quoting changeouts you do not win, warranty paperwork and invoicing are all unpaid. Use 1,200.

($90,000 + $50,000) ÷ 1,200 = $117/hour just to break even at your target pay. Add 20% for profit, the money that buys the next truck and absorbs the compressor you warranty out, and you are at $140/hour. That sits in the upper half of the residential band, which is where a properly insured one-truck shop should be.

Then convert. A repair that honestly takes an hour on site plus 30 minutes of driving and paperwork is 1.5 × $140 = $210 of labor, plus the part at your price. A $22 capacitor at a 3× markup is $66, so the flat rate lands near $275. That is why $150 capacitor calls usually lose money once the truck is paid for.

Mark up parts, and never bury them in labor

HVAC parts markup is a sliding scale, not a single percentage. Cheap, high-turn parts carry the biggest multiple because handling cost has nothing to do with price: a $12 flame sensor and a $1,200 coil take the same phone call to source. A workable matrix is 2.5–3× on parts under $50, roughly 2× from $50 to $200, and 30–50% over cost on equipment and major components. That markup pays for sourcing, van stock, the return trip when a board is superseded, and the warranty you carry on the part.

Itemize parts on their own lines. A customer reading "Labor: diagnose and replace condenser fan motor, 1.5 hrs" and "Condenser fan motor, 1/4 HP (part)" argues far less than one reading a single $640 number. Separating them also keeps sales tax clean in the many states that tax parts and not labor. Refrigerant gets its own line with type and quantity, because EPA Section 608 recordkeeping expects it.

Maintenance plans are where the margin actually lives

A $180–$400 annual agreement looks like small money next to a changeout. It is not. Plan customers call you first in July, take your quote instead of shopping three, and fill the shoulder seasons when your truck would otherwise be parked. Two hundred plan customers is roughly $50,000 booked before summer starts, plus the changeout pipeline that comes from seeing 200 aging systems twice a year.

Price the plan so the visits themselves clear your real hourly rate, then let priority scheduling and a repair discount (10–15% is typical) do the selling. A plan priced as a loss leader loses money on purpose every spring.

Regional variation is real, so adjust deliberately

The same condenser fan motor replacement is a $450 job in rural Alabama and an $850 job in Seattle or the Boston metro. Coastal metros and high cost-of-living cities generally support rates 25–40% above rural Midwest and Southern markets. Two rules hold everywhere:

  • Price against your local market, but never below your own break-even number. If the local market cannot support your break-even, the problem is your overhead or your billable-hour count, not your rate.
  • Charge a separate trip or mileage line outside your normal radius instead of quietly inflating the job price. Customers accept a travel charge. They do not accept feeling worked over.

Seasonality is the other lever HVAC has and most trades do not. Raising rates mid-August looks like gouging, so build the peak into your standard rate before the season starts, and fill winter with maintenance plans instead of discounts.

When to charge a premium

  • After hours, weekends, holidays: 1.5× to 2× standard labor. Say the number on the phone before you drive out.
  • No-cool in a heat wave, no-heat in a freeze: if you are pushing scheduled work to get there, that is a premium, not a favor.
  • Diagnostics: leak searches, static pressure testing, combustion analysis and superheat work are billable services. Free estimating covers the price of a job, not the diagnosis of one.
  • Rough access: 130-degree attics, crawl spaces, roof units and tight closets take longer and carry more risk. Price the conditions, not just the task.
  • Scope found mid-job: a rusted-out drain pan or a plenum that has to be rebuilt is new scope. Write a change order, get a yes, then bill it.

Six ways HVAC contractors underprice themselves

  • Waiving the diagnostic every time the repair is approved. Crediting the fee is a fine sales tool. Deleting it by default trains your market to expect free truck rolls.
  • Billing clock time instead of job time. The job starts when you get in the truck and ends when the invoice goes out. Price the whole thing.
  • Charging 2022 refrigerant prices. Per-pound cost moved a long way. Quote a recharge off your last supply house invoice, not your memory.
  • Selling maintenance plans at a loss. If a tune-up visit does not clear your hourly rate, the plan is a subscription to unprofitable work.
  • Never raising rates. Equipment, refrigerant and insurance all move every year. A 5–8% adjustment applied quietly on January 1 keeps you level. Customers who leave over 6% were never profitable.
  • Eating warranty labor. A manufacturer parts warranty covers the part, not your hour in the attic. Bill the labor, and say up front that the part is covered and the visit is not.
