What a Credit Note Does

A credit note reverses part or all of an invoice you already issued. Instead of deleting or editing the original (which corrupts your records and, in many jurisdictions, breaks tax rules), you issue a second document that says: reduce what this customer owes by this amount, for this reason. The original invoice stays intact; the credit note corrects the ledger.

Common triggers: returned goods, work not delivered as scoped, an overcharge or pricing error, a goodwill adjustment after a complaint, or a duplicate invoice.

How to Fill This Template Out

  • Reference the original invoice in the notes: "Credit against Invoice INV-0142, issued March 3."
  • List the credited items as positive amounts. The CREDIT NOTE title tells the reader the direction; the line items say what is being credited and why.
  • Use its own number series (CN-001, CN-002) so credits are findable and sequential.
  • State the settlement: refund to the original payment method, or credit applied against the next invoice. Ambiguity here creates the follow-up email.

Credit Note vs. Refund Receipt

A credit note adjusts what is owed; it may or may not be accompanied by money moving. If you refunded cash on the spot, a refund receipt documents the payment out. If you are reducing a balance, canceling part of an unpaid invoice, or carrying a credit forward, the credit note is the correct document. Bookkeepers will thank you for using the right one.
