Receipt vs. Invoice: Which One Do You Need?
An invoice asks for payment; a receipt proves payment happened. You send an invoice before money moves and a receipt after. If a customer paid you in cash, by check, by Venmo, or by card and wants documentation, that document is a receipt.

What a Receipt Should Include
- Who paid whom. Your business details and the customer's name.
- What was paid for. Line items for goods or services, matching the original invoice if one existed.
- Amount, date, and method. The three facts a bookkeeper, an auditor, or a landlord actually checks.
- A receipt number. Sequential numbering keeps your records searchable and looks professional.
When You Are Required to Give a Receipt
No US federal law requires receipts for every sale, but plenty of situations effectively do: customers paying cash (protect both sides), deposits on future work, rent payments in states that mandate rent receipts on request, and any customer who plans to expense or deduct the purchase. When someone asks, the professional answer is a clean PDF within the hour, not a shrug.
